The Access Site is a feature that every IntelliFolios clients get, no matter how large or small their site is. Essentially, it allows access to up to 10 critical areas of information and communication by anyone who you give the username and password to.
This password-protected online tool is very easy to use, and self-explanatory. Just like IntelliFolios sites, it works with any typical computer, operating system, and browser, without the need for any software purchase installation, or updating. Below are sample screenshots (some are low resolution to protect confidential info), but if you wish, we can demo a real, working Access Site during a face-to-face meeting.

What a simple concept that has been needed for a long time!
View your site through a specially-generated, shareable URL, without affecting your statistics. This is the only way of getting completely accurate statistics, while allowing yourself and key people involved in your business, such as staff, agents, or designers to view your site as much as they need to without having their site activity alter your statistics from the site.
Why is this so important? To determine what is really going on with your site, and how effective it and the content is, there needs to be an easy way to separate the traffic you want to track, from the traffic you don't want to. There is no screenshot of this here because it is a transparent technology...this version looks just like your site, except in how it talks to the statistics system.

The Notepad, which is part of the Approval Bar, is viewable through a special URL, accessible through the link triggered by this button. You can also send others this URL, or bookmark it. It has the following controls:
Refresh page:
When we are making real-time site changes, and you want to see the latest change, there is no need to relaunch the site. Just use this button, and it will reload the page you are viewing, and along with it, any new changes to design or content.
View / edit Notepad:
The Notepad is where you write down any thoughts pertaining to a specific page, and those notes are kept accessible from that page. Whenever you or anyone in your approval circle views that page through this system, if there are any "live" notes, this button will be highlighted. Anyone in the approval circle can see all the notes, and can add or edit them, just like a plain text document.
View all notes / send:
This button allows you to see a listing of all notes that are pending submission. Once you have reviewed the list, and the final directive has been decided on, you just hit "submit", and all the directions, along with links to the page that each note is for, will be sent to the IntelliFolios CRM system, which is a permanent database of all communications with you through this system. The first IntelliFolios developer that is available to review your request will "sign out" the request, and then they are responsible to communicate directly with you to implement those changes. When submitting requests, you can check the "request quote" if you are not sure of how much the service will be, and we will email you the exact price. We try to have easy to understand set pricing on all system features and typical content additions or edits, so once you work with us a bit, you will have a good idea of how much your changes will cost.
View Screen:
Brings up the un-watermarked, full-screen version of each media, even if the site has them switched off or watermarked, allowing you to see more detail in making a decision, or if you need it for reference or download.

All 37 of these reports are likely the most user-friendly, no experience required, fun to use, yet strategically deep and accurate statistics that you have ever used!
Stats about images actually show a thumbnail of the image! Referral URL's are clickable, so you can, for example actually see the terms, and associates results, that someone typed into a search engine like Google, in which the results took them to your site. Another cool thing is the system figures out which ISP your viewers have come from, and cross-references them with an IP database we subscribe to, which then tells our system (and you) which country, province/state, and city/town your visitors are coming from. If you have media or text search features enabled on your site, it reports what categories and search terms visitors are actually looking for on your site.
Select the site Profile(s) which you want to view statistics from. Then select the date range for the report, just by moving your cursor over the dates you want used for the report.
Profiles can be used for any situation where there is an advantage to either have less or more content, different content, different wording or presentation of site content, certain site features or technologies enabled for certain viewers. It can also be used for accurately tracking the activity and effectiveness of a specific marketing or communications piece that can have a URL attached or mentioned in it, such as an email campaign, posting or ad on a site, or a physical mailer, sign, promotion, etc.
Select multiple Profiles for reporting aggregate data. View as plain text and/or save as file, for integration into other databases, reports, charts, etc.
The statistical display is Flash animated, with either graphs, pie charts, lists with thumbnails, or list with links. Whenever possible, rolling over an item, such as a bar in a bar graph, will give you a temporary readout of the specific number that the graphic represents, and it is usually animated, and in dynamically differing colors when necessary. Averages and totals are usually displayed, when appropriate. Viewing as text is suitable for quoting or using as source data for other reporting and graphing systems. The data is usually shown as a "top 20" for that time period, but additional values are kept in the database, and more specific data, or data that isn't in the top 20, can be shown by either specifying a smaller date range, or by generating certain HTML reports.

View the amount of data that has been downloaded from your site. The included bandwidth is 25GB per year, per account, which is very generous when you consider how well optimized and efficient these sites are. The bandwidth is limited because these are very high-performance, expensive servers, and we strive to keep a huge amount of disk and processor "headroom" on them, so no matter what is going on with any sites on them, there is always a large reserve. These servers are not meant for FTP or file download, so when you consider that, the likelihood of your web traffic exceeding this is unlikely, and if it does, that means you have so much traffic coming to your business site that the nominal fee is insignificant. We can recommend great, free file transfer services, as well as free video streaming for very long videos. These can easily be integrated into your site experience.

Select files that you want to send to IntelliFolios Site Developers, and then upload with one click, and no passwords, FTP setting, etc... You will then want to "submit instructions" (see next item) regarding those files. This allows each file and its corresponding instruction to be tracked via our CRM system. This is a great method if it is just several files, with pretty easy instructions from you. If it is a larger collection of files, media, etc, you should properly name the media with the unique name that you want displayed in the site, and make reference to that name in the instructions you submit. Please organize things into appropriately-named folders and subfolders, and the just ZIP the whole thing. If the submission is under 50MB, which most are, then use this "Send File" system. If it is larger than that, please refer to your user guide or email us for instructions on how to use our other system for larger sends, or post it on your own FTP site or webspace. We can also do remote log on to shared folders on your local, "always on and connected" computer or server.

Submit instructions to the IntelliFolios team. This can be referring to files you submit through the previously-mentioned means, or just a request for a change, addition, or explanation of something. We encourage you to use this system, as it will get you the most immediate response and action, because it goes to the first person available, rather that a specific person, who may not be available to work on your request at that moment. Normally, you will get a response within 1 workday.

Delete or swap files available (at your discretion) to the public and on your site. This is used for all the file types that are not natively supported within the Flash environment. This could be a PDF presentation, brochure, resume or mini portfolio. It could be a press release done as a Word document. It could even be a deliverable to a client as a .ZIP file. Usually the storage space in MyFiles is minimal, because these servers are optimized for premium website delivery, and it would be an expensive waste to use these Ferrari-like servers as moving vans, and there are great low-cost and even free services that do just that.
The files that we typically be managed here include files ending with .txt, .doc, .pdf, .mov, .avi, .mpg, and .html, and other media formats like Windows Media, Real, and VR plug-ins. Essentially, these are the types of files that html sites cannot display without using a plug-in, and usually a popup window.
On the other hand, the file types that ARE natively supported by Flash will play seamlessly and efficiently within any page in IntelliFolios. We encourage use of these, and if you can't do these conversions yourself, we have conversion services to do that. These include .swf Flash animations and graphics, .flv Flash video, jpegs, and mp3’s. These would not normally be edited or available in MyFiles, as they would be integrated into the site management software directly.

Shows a list of all your MyPage site pages, which are configured by IntelliFolios to have user-editable content. This is a relatively new offering, and there will be a separate section that explains how it works.
There are scenarios where a person or team needs to edit a specific page or gallery often. In a traditional one company site, this can be a news page, a client list, a new product or services page, and announcement page, an HR page, or a photo gallery from an event. Often, different people in an organization, or even specialists outside the organization, may need to be the editors of a specific page, without any chance of creating problems with other pages, or the whole site.
Another use of MyPage is powering groups of professional or businesses that are listed in one site. This can be a co-operative, repped group, or professional association. Lets say that an organization has 200 members, and they want to create a "portal" for those members to showcase their work, and have a little bio on the site. Creating and managing changes for those 200 members would be a quite the job, and inevitably would take critical energy away from other matters that members could not do themselves. So, the organization either subsidizes the gallery portal, or has each member pay a nominal one-time fee, of say, $200. That's $40,000, which would be enough to pay for a whole new site powered by IntelliFolios, including all of the organizations ongoing needs and info. Each member would have access to control their own gallery of images, and all of these could be searchable with the IntelliFolios text and image search tools, and selectable and savable using the "select" feature, and printable using the "download PDF promo" features.
The scenarios in which MyPage is used are usually very time-critical, and these pages will often get edited partially or completely at least several times a year, perhaps monthly, or weekly, or even daily. So, how does it work? Essentially, we build a "master" page or gallery to your specs, with universal formatting (like spacing, text color, text style, text size, master branding graphics, etc) that will be re-used often. We can then create "versions" of that page, and assign a different username and password to each one. A person that is using the Access Site will have instant editing access to each one of the MyPages on the account, and if that person is the same one that edits all these pages, then there is even no need for using separate logins and passwords for each one (although the login identifies which page it is, so that has be unique).
That page has a specific location on the site, which can only be moved by us. Every time the formatting changes, we create a new text box. Every image has an image box. If there is no image assigned, the image box doesn't appear. We have certain simple existing configurations that are very affordable, but of course, more complicated designs can be made for a bit more. For example, if Lisa is in charge of a new products page, Lisa is given a username and password, along with a link to access the page. She logs in, and selects the picture box she wants to edit, and either removes the old item, or chooses an unused box, and populates it with her info. The order that the boxes are on the page is how the photos and text will be ordered on the page. Lisa cannot redesign anything, and that is what makes it fool-proof. She hits save, and any site, whether it is Flash, HTML, or both, will be updated. If Lisa ever wants that page edited by us in the Manager software that we use to build and edit your site, it gets converted into that format, and once that happens, Lisa loses the ability to edit that page.
If John is in charge of the whole site through the Access Site, he can just select Lisa's page from his list of MyPages, and edit it, without needing to login again. The Access site automatically allows editing of any MyPage in the account.
Prices for Master Page Designs vary between $100-$300 each, usually depending on how many fields they have, and graphical complexity, while same-design versions of those pages, each with a unique ID, go for $20 each. Of course, there is a $100 minimum charge for each job, so if you are getting just additional pages done, you may as well get a handful. On the other hand, if you are getting hundreds done, there will definitely be a substantial price break. Don't worry, if a page has been created, and put into the site, but it has not been edited yet, it will not show up in the site menu.

Manage and/or download your optional subscriber database. The popup form gets added to your site as a text, navigation, or QuickLink, and the site visitor viewer then can add themselves to a database. Multiple subscriber links can be created for multiple databases, if required. There are three smaller fields that can be used for any short text input, but by default they are name, company, and email address, as well as much larger a "notes" field.
This information is then available as an online database through the Access Site, and the information can be downloaded as a tab-delimited text file for integration into popular contact management and email promotion systems. The subscriber list also allows for deletion of information that has been downloaded, which is the recommended way of managing a local contact database.
